This Server Migration Policy explains how HostFlow Network LLC (“HostFlow,” “we,” “us,” or “our”) handles requests to transfer game servers, Discord bots, websites, databases, and related data to HostFlow.

This policy forms part of the HostFlow Terms of Service.

1. Migration Availability

Migration assistance is available only after HostFlow reviews and approves the request.

Approval depends on:

  • Source-provider access

  • Service type

  • Data size

  • Software compatibility

  • Available HostFlow resources

  • Staff availability

  • Security concerns

  • Complexity of the transfer

  • Customer compliance with HostFlow policies

Purchasing a HostFlow service does not automatically guarantee migration assistance unless the applicable product or promotion specifically includes it.

2. Free and Paid Migrations

Certain plans or promotions may include one standard migration.

When a free migration is included, it generally covers a reasonable transfer of one supported service into one active HostFlow service.

Additional charges may apply for:

  • Multiple services

  • Large amounts of data

  • Complex configurations

  • Unsupported control panels

  • Manual database repair

  • Custom software changes

  • Email mailbox transfers

  • Domain or DNS management

  • Extended troubleshooting

  • Work performed outside the standard migration scope

HostFlow will disclose any required migration fee before beginning paid work.

3. Requesting a Migration

Migration requests must be submitted through the HostFlow Client Area.

The request should include:

  • The service being transferred

  • The current hosting provider

  • The source control panel

  • Approximate data size

  • Software or game version

  • Required databases

  • Preferred migration timeframe

  • Any special configurations

  • Known compatibility concerns

Do not post passwords, private keys, API keys, bot tokens, or other sensitive credentials in a regular support-ticket message.

HostFlow will provide an approved secure method when credentials are required.

4. Customer Authorization

By requesting a migration, the customer confirms that:

  • They own or are authorized to control the source service

  • They have permission to copy the files and data

  • The content complies with applicable laws

  • The content does not violate third-party rights

  • The transfer does not violate the source provider’s terms

  • They possess required software licenses

HostFlow may refuse a migration when ownership or authorization cannot be reasonably verified.

5. Customer Responsibilities Before Migration

Before HostFlow begins, the customer should:

  • Create and download a current backup

  • Keep the source service active

  • Confirm that source credentials work

  • Provide sufficient storage on the HostFlow service

  • Reduce data that is no longer needed

  • Identify important databases and configurations

  • Confirm software-version requirements

  • Notify HostFlow of encryption or special security controls

  • Avoid making major changes during the transfer

The customer remains responsible for maintaining an independent backup throughout the migration.

6. Game-Server Migrations

A supported game-server migration may include:

  • Game files

  • World or map data

  • Configuration files

  • Player data

  • Supported databases

  • Compatible plugins or mods

A game-server migration may not include:

  • Unsupported game versions

  • Pirated or cracked software

  • Invalid licenses

  • External databases not provided by the customer

  • Third-party accounts

  • Publisher-controlled data

  • Incompatible plugins or mods

  • Data stored only on player devices

  • Content prohibited by HostFlow policies

HostFlow does not guarantee that every plugin, mod, map, or custom configuration will function after transfer.

7. Discord Bot Migrations

A supported Discord bot migration may include:

  • Bot source code

  • Configuration files

  • Supported databases

  • Dependency files

  • Environment-variable templates

  • Startup configuration

Customers remain responsible for:

  • Discord application ownership

  • Bot tokens

  • API keys

  • Third-party credentials

  • Required software dependencies

  • Code compatibility

  • Discord policy compliance

For security, HostFlow may recommend rotating bot tokens, passwords, and API keys after migration.

HostFlow does not guarantee that customer code will run without modification in the new environment.

8. Website Migrations

A supported website migration may include:

  • Website files

  • Supported databases

  • Basic application configuration

  • Compatible content-management-system files

  • Supported domain configuration assistance

Unless expressly included, website migration does not automatically include:

  • Domain registration or transfer

  • Email mailbox migration

  • Third-party email services

  • Premium plugin or theme licenses

  • Website redesign

  • Application development

  • Search-engine optimization

  • Repairing infected websites

  • DNS management

  • External cloud storage

  • Third-party account transfers

HostFlow may require additional work or fees for complex or unsupported websites.

9. Compatibility

Differences between providers may affect:

  • Operating systems

  • Runtime versions

  • PHP, Node.js, Java, or other software

  • File permissions

  • Database versions

  • Network ports

  • Directory paths

  • Startup commands

  • Plugins, mods, or themes

  • Control-panel functions

HostFlow will make reasonable efforts to identify compatibility problems but cannot guarantee that every issue will be discovered before migration.

The customer may need to update or modify customer-controlled software.

10. Migration Scheduling

Migration dates and completion times are estimates unless HostFlow provides a separate written guarantee.

Migration time depends on:

  • Data size

  • Source-server speed

  • Network conditions

  • Source-provider restrictions

  • Staff availability

  • Required troubleshooting

  • Customer response time

  • Software compatibility

HostFlow is not responsible for delays caused by the source provider, incorrect credentials, customer changes, third-party restrictions, or events outside HostFlow’s reasonable control.

11. Downtime

Some migrations may require temporary downtime to prevent files or databases from changing during the final transfer.

When possible, HostFlow will coordinate a migration window with the customer.

HostFlow cannot guarantee a zero-downtime migration.

Customers should avoid making significant changes to the source service after the final data copy begins. Changes made after that point may not transfer.

12. DNS and Domain Changes

Website and server migrations may require DNS changes.

DNS updates can take time to spread across internet providers. This process is commonly called DNS propagation and is outside HostFlow’s direct control.

Unless expressly included, the customer is responsible for:

  • Maintaining domain registration

  • Updating nameservers

  • Updating DNS records

  • Keeping registrar credentials secure

  • Renewing the domain

  • Confirming that records point to the new service

HostFlow may provide basic DNS guidance when practical.

13. Testing and Customer Approval

After migration, the customer is responsible for testing:

  • Service startup

  • Website pages

  • Game worlds and player data

  • Bot commands

  • Databases

  • Plugins and mods

  • User permissions

  • Network ports

  • Scheduled tasks

  • Application functions

Report migration-related problems as soon as reasonably possible through the original support ticket.

HostFlow may consider the migration complete after the customer confirms success or fails to report a problem within a reasonable period.

14. Source-Service Cancellation

Do not cancel or delete the original service until:

  • The migration is complete

  • The transferred data has been reviewed

  • The new service has been tested

  • DNS changes have completed where applicable

  • A separate backup has been downloaded

HostFlow is not responsible for data that becomes unavailable because the customer canceled the source service too early.

15. Data Integrity and Backups

HostFlow will use reasonable care during approved migrations but does not guarantee that every file, database record, permission, or configuration will transfer without error.

Customers must maintain their own backups according to the Backup and Data-Retention Policy.

HostFlow is not responsible for preexisting corruption, missing source files, incomplete source backups, source-provider restrictions, or customer changes made during the transfer.

16. Security Review

HostFlow may scan, isolate, reject, or stop a migration involving:

  • Malware

  • Phishing content

  • Stolen data

  • Compromised applications

  • Pirated software

  • Malicious code

  • Content violating the Acceptable Use Policy

  • Serious security vulnerabilities

Security cleanup is not included with a standard migration and may require separate paid work.

17. Credentials

Customers should change or rotate credentials after migration, including:

  • Passwords

  • Bot tokens

  • API keys

  • Database passwords

  • Administrator credentials

  • SSH keys

  • Application secrets

HostFlow will not retain migration credentials longer than reasonably necessary for the approved work, subject to security, dispute, and legal requirements.

18. Failed or Abandoned Migrations

A migration may be paused or canceled when:

  • Credentials do not work

  • The source provider blocks access

  • The customer does not respond

  • The destination lacks sufficient resources

  • The content violates HostFlow policies

  • Required software is incompatible

  • Continuing would create a security risk

Fees for completed custom work may remain payable even if the migration cannot be completed because of circumstances outside HostFlow’s control.

19. Support After Migration

Normal HostFlow support covers HostFlow-controlled infrastructure and supported control-panel functions.

Repairing customer code, plugins, mods, databases, themes, or applications after migration may be outside standard support.

Support boundaries are explained in the:

20. Changes to This Policy

HostFlow may update this policy to reflect changes in supported platforms, migration tools, service offerings, or procedures.

Updates will be posted with a revised “Last Updated” date.
