Effective Date: August 31, 2026
Last Updated: August 31, 2026
This Refund and Cancellation Policy applies to services purchased from HostFlow Network LLC (“HostFlow,” “we,” “us,” or “our”).
This policy forms part of the HostFlow Terms of Service.
1. Eligible 72-Hour Refunds
A first-time customer may request a refund for an eligible initial hosting purchase within 72 hours after the service is first activated.
Eligible base hosting services include:
-
Game-server hosting
-
Discord bot hosting
-
Website hosting
The 72-hour refund guarantee applies only to the customer’s first eligible paid HostFlow service. Eligibility may be limited by person, household, organization, account, and payment method to prevent abuse.
If HostFlow accepts payment but cannot activate the service, the customer may receive a refund of the unfulfilled service payment.
2. Nonrefundable Purchases
Unless required by law or caused by a verified HostFlow billing error, the following are nonrefundable:
-
Renewal payments
-
Setup or installation fees
-
Domain registrations, renewals, and transfers
-
Dedicated IP addresses
-
Add-ons and configurable options
-
Resource upgrades
-
Software licenses
-
Account credits
-
Custom or completed work
-
Services canceled after the 72-hour window
-
Services terminated for policy violations
-
Promotional, free, or complimentary services
-
Service periods already used outside the eligible guarantee
Refunds are not prorated for unused time after the 72-hour period.
3. Refund Disqualification
A refund may be denied when:
-
The request is submitted after 72 hours
-
The customer previously received a HostFlow refund under this guarantee
-
The account contains materially false or fraudulent information
-
The payment was unauthorized or fraudulent
-
The customer violated the Terms or Acceptable Use Policy
-
The service was used for attacks, malware, spam, phishing, or illegal activity
-
Multiple accounts were created to abuse trials, promotions, or refunds
-
A chargeback was filed before allowing HostFlow a reasonable opportunity to investigate
Nothing in this section removes rights that cannot legally be waived.
4. Free Trials
Free trials do not qualify for refunds because no payment is charged.
If a free trial automatically converts into a paid subscription, HostFlow will disclose the conversion date, billing frequency, and price before enrollment.
The first paid service period following a trial may qualify for the 72-hour refund guarantee, measured from the paid service’s activation, unless different terms were clearly displayed with the offer.
Customers must cancel a trial before its displayed conversion date to prevent the first paid charge.
5. Preorders
An unfulfilled preorder may be canceled before provisioning unless the preorder page clearly disclosed different legally permitted terms.
After a preorder is activated, the standard 72-hour refund period applies if the service otherwise qualifies.
6. Cancellation Procedure
Cancellation requests must be submitted through the official cancellation-request feature in the HostFlow Client Area.
Customers may be offered the choice to cancel:
-
Immediately
-
At the end of the current billing period
Immediate cancellation may result in immediate service shutdown and permanent data loss.
The following actions do not automatically cancel a service:
-
Removing a payment method
-
Failing to pay an invoice
-
Abandoning a server
-
Opening a regular support ticket
-
Closing an external payment account
-
Filing a payment dispute
Customers should save all required files, databases, configurations, and backups before cancellation takes effect.
7. Recurring Billing
Services continue renewing according to the selected billing cycle until canceled.
To prevent another renewal, submit the cancellation request before the next renewal charge or invoice due date.
Cancellation stops future renewals after the effective cancellation date. It does not erase charges or invoices already validly incurred.
HostFlow will clearly disclose the billing frequency and recurring price before the customer submits an order.
8. Billing Errors and Duplicate Payments
Report suspected billing errors or duplicate payments through the Client Area as soon as possible, preferably within 30 days of the transaction.
HostFlow will investigate and correct verified duplicate or incorrect charges.
A request submitted after 30 days may still be reviewed, and this timeframe does not remove rights that cannot legally be limited.
9. How to Request a Refund
To request an eligible refund:
-
Sign in at https://billing.hostflow.cloud.
-
Open a Billing support ticket.
-
Identify the affected service and invoice.
-
Explain why you are requesting the refund.
-
Submit the request within 72 hours after activation.
Canceling a service does not automatically create a refund request. You must separately request the refund through a Billing ticket.
10. Refund Processing
Approved refunds are returned to the original payment method whenever reasonably possible.
HostFlow generally submits approved refunds within 5–10 business days. Banks and payment processors may require additional time to display the funds.
Payment-provider delays are outside HostFlow’s direct control.
Account credits and promotional balances cannot normally be withdrawn as cash.
11. Chargebacks and Payment Disputes
Please contact HostFlow before opening a chargeback or payment dispute.
HostFlow may suspend affected services while a chargeback, reversed payment, or suspected unauthorized transaction is investigated.
Submitting false or abusive disputes may result in account restrictions or termination. Nothing in this policy prevents a customer from exercising lawful payment-dispute rights.
12. Service Credits
Credits issued under the Service Level Agreement are account credits, not cash refunds.
SLA credits cannot be exchanged for cash or transferred to another customer.
